How payments, platform fees, and refunds work on Pistaclub.

These Payment Terms sit alongside the Terms of Service. Where they conflict, these Payment Terms govern for anything money-related. Definitions used here follow the Terms unless stated otherwise.

Pistaclub is a neutral intermediary. We charge two distinct kinds of fees, and only those:
Our platform fee is separate from, and in addition to, the payment-processing fees Stripe charges the organizer on their own connected account. Those are a matter between the organizer and Stripe; we do not set them and do not receive them.
We do not charge riders, buyers, sellers, or organizers any other fees on top. We do not add booking fees, service fees, or "convenience" surcharges. What you see is what you pay.
Prices are displayed in the currency the organizer set on their event, or in your preferred display currency where we can convert automatically for reference. The amount actually charged is the organizer's set currency; any conversion your bank performs is between you and your bank.
Event bookings. The organizer is the merchant. Whether VAT is added, and at what rate, is the organizer's responsibility per their local tax law. Their event page and their invoice to you carry the VAT information; Pistaclub does not calculate or collect event VAT on their behalf.
Premium subscription. Pistaclub is the merchant. Displayed prices for EU consumers include applicable VAT calculated by Stripe Tax based on your billing country under the EU One-Stop-Shop (OSS) scheme, once we cross the threshold that triggers it. Until then, prices are shown net and any VAT owed is applied at checkout. Non-EU customers may see net prices; import/consumption taxes in your country are your responsibility.
Organizer subscriptions and credit purchases are B2B and priced exclusive of VAT. Pistaclub is the merchant for these. Where the organizer is a VAT-registered business established in an EU member state other than ours and supplies a VAT identification number we can validate, the supply is reverse-charged and the organizer accounts for VAT in their own state. If a VAT number is not supplied or cannot be validated, VAT is charged at the applicable rate. A compliant invoice is issued for every charge.
Paid event bookings run on Stripe Connect destination charges. Practically, this means:
The rider's contract for the event is with the organizer, not with Pistaclub. See Terms §2for the neutrality clause and the DSA hosting-service framing.
Under EU Consumer Rights Directive 2011/83/EU, consumers ordinarily have 14 days to withdraw from a contract concluded at distance. Trackday events are typically exempt under Article 16(l) — the exception for "the provision of services related to leisure activities if the contract provides for a specific date or period of performance." Your booking is for a specific date at a specific circuit, so the 14-day withdrawal right does not automatically apply.
What applies instead: the organizer's own cancellation and refund policy, published on the event page and accepted by you at booking. That policy governs whether, when, and under what conditions you can cancel and receive a refund. Pistaclub does not override it and does not mediate disputes about it (see §8).
Some organizers voluntarily offer a right to cancel with a full or partial refund up to X days before the event — that is a contractual courtesy from them, not a statutory right, and its terms are theirs.
Premium is a digital-service subscription bought directly from Pistaclub. EU consumers do have the 14-day withdrawal right on this contract under CRD Article 9 — unless you expressly consent to immediate performance and acknowledge that you lose your right of withdrawal once the service has been fully performed (CRD Article 16(m)).
Because Premium unlocks features the moment the payment succeeds, our checkout flow presents an explicit waiver checkbox before you can complete the purchase:
"I want immediate access to Premium features and I acknowledge that by using the service before the 14-day withdrawal period expires I lose my right of withdrawal for the portion already performed."
You must tick this box to complete Premium checkout. We record the timestamp of your waiver on your account (premium_withdrawal_waived_at) and in the tamper-evident LegalAcceptanceEvent ledger described in the Privacy Policy.
If you do not waive: you can email support@pistaclub.app within 14 days of the start of the subscription and we will cancel it and refund it in full. If you subscribed and used the service without waiving, we may retain a pro-rata portion for the days you had access.
Cancellation outside the withdrawal window. You can cancel Premium at any time from your account settings or the Stripe billing portal. Cancellation stops the next renewal; Premium access remains active until the end of the paid period. We do not refund unused days after the 14-day withdrawal window has passed, except where local law requires it.
Once we (or the organizer) initiate a refund, Stripe typically settles it to the original payment method within 5–10 business days. Bank transfers usually settle within 1–3 business days depending on your bank. If you have not seen the refund after 10 business days, contact support@pistaclub.app with your booking reference and we will trace it with Stripe.
If a refund fails at Stripe's end (a stale card, insufficient organizer balance, closed account), the booking's refund_status flips to failed and both you and the organizer are notified. The organizer is responsible for getting the money to you — usually by top-up + retry, or by bank transfer if the card refund can't complete.
Event booking that fails at checkout. No booking is created; no charge lands on your card. Try again with a different card, or pick a bank-transfer option if the organizer offers one.
Bank-transfer booking that never lands. The organizer sets an expiry window (see the transfer instructions screen). If we do not receive confirmation within that window, the booking is auto-cancelled and your spot is released. You are not billed and no debt is created.
Premium renewal that fails. Stripe retries automatically for up to two weeks. During that time your subscription moves to past_due and we display a banner asking you to update payment. If retries fail, the subscription is cancelled and you drop to the free tier.
If you believe a charge on your card is wrong, please contact us first at support@pistaclub.app — we can usually resolve it faster than a bank chargeback and without penalty to your account. Filing a chargeback without reasonable cause (for example, filing a chargeback for an event you attended, or for a Premium period you used) is a breach of these Payment Terms and we may suspend the account concerned until it is resolved.
For event bookings, chargebacks are ultimately between you, your card issuer, and the organizer (who is the merchant of record — see §3). Pistaclub can provide evidence — the booking record, consent snapshot, chat history, and hash-chained registration evidence — but we do not decide the outcome.
Pistaclub does not mediate refund disputes between riders and organizers, or between buyers and sellers on the marketplace. This is a direct consequence of our neutrality role: we are not a party to the underlying event or sale, so we cannot fairly decide who is right. What we do:

Governing law and venue for the platform contract itself are set out in Terms of Service §"Governing law and disputes".
We may change Premium prices with at least 30 days' notice to affected active subscribers. If you do not accept the new price, you can cancel before it takes effect and your existing period is honoured at the old price. Continuing to use Premium after the change date is deemed acceptance of the new price for future renewals.
Every payment event on Pistaclub is written to an append-only, hash-chained ledger (PaymentTransaction) — charges, refunds, dispute opens, and dispute outcomes. This is the audit record used for tax reporting, dispute evidence, and your own "download my data" export. Personal fields are pseudonymized on GDPR erasure per the retention schedule in the Privacy Policy; the financial content and hash chain are retained for the legally required recordkeeping period.
We may update these Payment Terms. Material changes will bump the version at the top of the page and trigger a re-acceptance prompt on your next login. Non-material clarifications (typos, reformatting, adding examples) do not bump the version.
